A highly effective way to smooth technology adoption is by offering thoughtful training, and a new LeadingAge Center for Aging Services Technology (CAST) case study provides a solid example. Building Staff Confidence Through a PACE EHR Upgrade explains how Randolph Health StayWell Senior Care approached a comprehensive electronic health records (EHR) upgrade. Together with Collabrios Health, StayWell improved usability, reliability, and staff confidence across its Program of All-Inclusive Care for the Elderly (PACE) workflows.
This case study is a new addition to the LeadingAge CAST Electronic Health Records (EHR) Technology Selection Tool, one of ten LeadingAge CAST Technology Selection Tools that empower aging services providers to choose the best solutions to fit their needs. Each tool includes a white paper with details on the technology’s uses and benefits, a matrix of technologies currently on the market, an online selection guide to help providers narrow their choices, and provider case studies that show similar technologies in action.
The tools are updated regularly. In addition to the new case study, the EHR Selection Tool now includes updated information on 13 products. The revised Health Information Exchange (HIE) Selection Tool features updated information on 43 HIE entities.
Team Collaboration Yields Exceptional Rollout
Patience played a large role in the StayWell rollout. When they encountered challenges in training coordination, system configuration alignment, and change management, the Collabrios health client experience and implementation teams paused to listen, reassess, and realign rather than push ahead. They updated training environments to reflect the live system accurately, finalized configurations, matched user permissions with real workflows, and provided additional hands-on support. The upgrade also improved usability across clinical and administrative functions while providing ongoing data capture and reporting.
Consistent and open communication between StayWell staff and Collabrios Health team members continued through the go-live phase. Thanks to this openness, staff was able to provide continuity in care delivery during the rollout, which increased confidence and satisfaction. Together, the teams learned the benefits of treating implementation as an iterative process, as well as focusing on usability and staff confidence as key drivers of success.
Of the collaboration, the community’s executive director, Karen Martin, MSN, BSN, RNI, said: “Our go-live was amazing. This was the best implementation I have ever completed, and I think I’m at seven or eight now in my career.” For more details, read the full case study.
