When boutique management firm Cascade Senior Living Services wanted to modernize time-consuming workflows, it partnered with NuAIg, a LeadingAge Bronze Partner with CAST Focus. By leveraging artificial intelligence (AI) and robotic process automation (RPA), NuAIg improved Cascade’s billing, claims, document management, human resources (HR) compliance, and appointment scheduling processes.
Cascade, based in Seabeck, WA, gained real-time insights around its business processes, which enhanced decision-making. The newly introduced solutions can also be customized and scaled to meet future needs.
A new LeadingAge CAST case study, “Establishing a Center of Excellence: Laying the Foundation for Intelligent Automation and Data-Driven Decision Making at Cascade,” details the initiative’s process and benefits.
NuAIg Center of Excellence Enables Continuous Innovation
NuAIg offers a unique offering: partnering with clients to create a Center of Excellence (COE), which moves beyond implementing technology to build a scalable framework for continuous innovation. For Cascade, the COE served as the strategic hub for process automation and data intelligence.
The COE identified bottlenecks and automation opportunities within organizational processes, then implemented RPA solutions to reduce manual processes. NuAIg established interoperability between existing systems and created new high-level dashboards and analytics to inform decision-making. This implementation has the potential to become a more sophisticated AI-powered ecosystem, with deeper insights and automation capabilities.
Through its COE, NuAIg led five projects:
- Medicaid Billing: To transform the payment information system and increase operational efficiency, the NuAIg team moved Cascade away from processing remittance advice files manually each week. Now, a sophisticated solution using Power Automate accesses and retrieves the files and ensures that records stay up to date.
- PointClickCare (PCC) Document Upload: While Cascade staff had been scanning and uploading numerous documents for residents’ profiles in PCC’s electronic health records system, NuAIg developed a solution that does so automatically.
- PayNW Document Upload: In a similar effort, NuAIg automated the upload of employee documents to Cascade’s Human Capital Management platform in PayNW. The process involves an authenticated API connection to Microsoft’s AI Builder, which enables organizations to employ models to optimize their business processes.
- PayNW HR Compliance Document Expiry: To save time for human resources directors, NuAIg automated the process to ensure that staff’s continuing education units and licensing stay up to date in PayNW, with stakeholders notified as needed.
- Appointment Posting in PCC: For faster coordination of transportation services with external providers, NuAIg introduced an automated appointment scheduler that schedules rides, creates calendar events, and notifies residents.
Data Analytics
Also through its Center of Excellence, NuAIg created an operational and clinical dashboard that collects data in real time from PCC and PayNW and monitors key metrics related to residents and caregivers. Dashboards track key metrics such as average daily census, staff retention, and budget compliance reports.
Outcomes
Increased staff productivity and efficiency brought many positive outcomes. Cascade leadership can make decisions based on real-time insights into various processes. The new solutions are customizable and scalable, enabling Cascade to adapt its processes over time to meet changing needs.
Providers can more easily focus on high-priority tasks thanks to daily comprehensive record tracking reports, which improves resource allocation and care delivery. Residents’ requests are resolved more quickly, with better care coordination, elevating satisfaction and health outcomes.
